ST. AUGUSTINE CATHOLIC SCHOOL GUILD BY-LAWS  

(Updated 2007)

 

ARTICLE I - Name of Organization

The name of this organization shall be St. Augustine Catholic School Guild. The Patroness of this Guild shall be St. Monica, the Mother of St. Augustine.

 

ARTICLE II – Members of the Guild

Parents of the children attending St. Augustine School are members of the Guild. All St. Augustine Parish members are invited to participate in the meetings and activities of the Guild.

 

ARTICLE III – Mission of the Guild

The St. Augustine Catholic School Guild is a parent organization designed to plan activities and events for the social and financial benefit of the school and parish community. The General Board shall plan and schedule Guild activities. The activities of the Guild will be subject to the approval of the Principal.

 

ARTICLE IV – Board Members & Nominations

Section 1: The Executive Board of the Guild shall consist of two (2) Co-Presidents, Treasurer, Secretary, the Pastor and Principal. The General Board shall consist of Executive Board members, one (1) Faculty Advisor and two (2) Grade Parents per grade representing Nursery through Grade 8.

Section 2: Nominations for the Executive and General boards shall be submitted in April. Together with the approval of the Principal and Co-Presidents of the Executive Board, officers and grade parents shall be appointed. The term commitment of Board members shall commence upon their installation at the annual May meeting and continue through the end of the calendar school year in June of the following year.

 

ARTICLE V – Board Duties & Responsibilities

Section 1: The duties of the CO-PRESIDENTS shall include, but not limited to, the following:

  1. The Co-Presidents of the Guild shall be the Executive Officers;
  2. They shall prepare for and preside at all meetings;
  3. They shall appoint all Committees;
  4. With the approval of the Principal, they shall have the power to call Special Meetings, when necessary.

Section 2: The duties of the TREASURER shall include the following:

  1. The Treasurer shall receive all monies from Guild activities and deposit same in the Guild Account of the school;
  2. The Treasurer shall manage the Guild's accounts payable; all monies to be paid out with the approval of the Co-Presidents and/or the Principal;
  3. The Treasurer shall maintain the financial records of the Guild and shall prepare and submit a report at each monthly Guild meeting.

Section 3: The duties of the SECRETARY shall include the following:

  1. The Secretary shall record the minutes of the meetings, and other matters of which a record shall be deemed necessary, and transcribe them for submission to the Board Members;
  2. The Secretary shall attend to all Guild correspondence, including notices of the Guild to be distributed throughout the school and parish.

Section 4: The duties of the GRADE PARENTS shall include the following:

  1. Each Grade Parent shall represent his/her respective grade on the General Board and is entitled to one (1) vote thereon;
  2. Each Grade Parent, as a member of the General Board, shall participate in the planning and scheduling of Guild events; they shall also commit to chairing or co-chairing two of the Guild activities for the ensuing year;
  3. Grade Parents shall be available to assist their representative grade teachers to plan classroom activities and events.

Section 5: Duties of the COMMITTEES shall include the following:

  1. All Committees shall report to the Executive Board before final commitments are made;
  2. Upon completion of all events and fundraisers, each Committee shall complete a Function Report Form, including financial information, to be filed with the Secretary, and a copy given to the Co-Presidents.

ARTICLE VI – Meetings

Section 1: The regular meetings of the Guild shall be held once a month. Special meetings may be called by the Co-Presidents and/or the Principal.

Section 2: Prior to the monthly meetings, the Co-Presidents will post on the Guild Bulletin Board a copy of the Agenda. Guild members may submit relevant Agenda items to the Co-Presidents for discussion at the Guild meetings.

Section 3: Guild meetings will be held on the first Thursday of each month to begin promptly at 7:00 p.m. in the St. Augustine Center for Education and Ministry.

 

ARTICLE VII – Amendments

Any proposed amendments to these By-Laws must be presented to the Executive Board and are subject to approval by the Pastor and/or Principal of St. Augustine School.
